Using Outlook shortcuts to get to folders faster
If you are using many folders and public folders to store information on your exchange server you can cut down the amount of time it takes you to get to your most used folders by using Outlook shortcuts. Click on the shortcuts icon on the bottom of your folders list in outlook 2003 or outlook 2007.

By default it will start with a blank list of shortcuts except for Outlook today. I never use outlook today, it is slow and unnecessary. Right click to remove that shortcut. If you have a lot of folders to shortcut to create Groups to Categorise them. Then click on the add new shortcut icon, Browse to each folder you want to have a shortcut to and add it. In the shortcuts list drag the shortcut to a suitable position.

In order to see access create shortcuts to other users folders you need to first use “Open these additional mailboxes” from the advanced settings.
Right click and rename the folders so they are clear as to what they contain. See the example below from my own shortcuts list – you can see how I have grouped and renamed each users calendar and setup shortcuts to all my most used mailboxes. I also have groups for clients, suppliers and  tasks so I can see everyones task list rapidly.
